Quality Documents and Training Administrator - II*

OVERVIEW
We are currently searching for a dynamic and highly motivated Quality Documents and Training Administrator to join a well-known client’s Commercial Learning + Development (CL+D) team. This is a local, Bay Area–based role supporting US Commercial training programs. The Training Coordinator will lead planning and execution of high-impact training events, including New Hire Training, Leadership Training, and other commercial learning initiatives, ensuring flawless logistics and on-time project delivery in a fast-paced, cross-functional environment.

RESPONSIBILITIES
•    Lead end-to-end planning and execution of US Commercial training events and meetings
•    Manage multiple projects simultaneously, ensuring successful delivery and exceptional stakeholder experience
•    Engage stakeholders to align priorities, manage interdependencies, and proactively mitigate risks
•    Provide executive-level project updates to senior leadership on a recurring basis
•    Lead process assessments using tools such as process mapping and root cause analysis
•    Partner with cross-functional teams, Learning Operations, and external vendors to ensure alignment and execution excellence
•    Execute RFPs, venue sourcing, site selection, and vendor evaluations; communicate recommendations and secure stakeholder buy-in
•    Negotiate contracts with hotels, venues, and suppliers
•    Manage food and beverage planning and execution
•    Source and oversee vendors for production and audio-visual services
•    Develop and manage detailed project timelines and action plans
•    Produce pre-event communications (websites, invitations, onsite materials) and post-event analytics, surveys, and debriefs
•    Manage event registration processes including attendee lists, rooming lists, badges, and place cards
•    Lead and facilitate cross-functional planning meetings
•    Manage vendors to ensure delivery against scope, timelines, and quality standards
•    Evaluate and maintain SOPs for event-related activities to improve efficiency and effectiveness
•    Mentor colleagues as needed on event planning, logistics, and project management best practices
•    Support strategic initiatives impacting the broader Commercial Learning & Development organization

EXPERIENCE
•    Extensive experience in meeting and event planning, logistics, and project management
•    Proven experience managing high-visibility training events and executive-level programs
•    Demonstrated success influencing stakeholders without direct authority
•    Experience working in fast-paced environments with competing priorities
•    Biotech or pharmaceutical industry experience preferred

EDUCATION
•    Bachelor’s Degree required with a minimum of 7+ years of relevant experience
•    Master’s Degree or MBA preferred with 5+ years of relevant experience
•    Preferred: Degree in Event Management, Hospitality & Tourism Management, or related field

•    Ability to travel domestically up to ~40%, including regularly to Foster City for training events
