The Operations Specialist tasks include:
Vendor Enablement and Contracting
• Support supplier onboarding activities, including vendor setup, documentation collection, and coordination with Procurement and Sourcing
• Coordinate Master Service Agreement and Statements of Work (SOW) preparation to support formal system submission while working closely with legal and contracting teams
• Comple Ariba requisition submission for purchase orders and contracting ensuring data accuracy and timely processing
• Maintain accountability for transparency through tracking Ariba requisition status through purchase order and contract execution
Study Registration & System Workflow Support
• Register and submit studies within Otsuka Global Study List and iEnvision (or equivalent governance systems), using existing documentation (SOW, study documentation) to complete required fields independently and reduce input burden on study leads
• Manage submission of study concepts and protocols through governance review pathways, ensuring timely submission and response to any feedback by collaborating with study lead
• Monitor progress and follow up on open actions without requiring study owners to manage logistics
General
• Serve as primary operational contact for vendors and support seamless coordination with Procurement, Legal, Contracting, and Finance
• Identify blockers and escalate proactively to ensure timeline adherence
• Participate in required meetings, as needed, to support project initiation and deliver quality meeting minutes and action follow-up
• Maintain centralized source-of-truth documentation repositories and trackers
• Work autonomously to interpret source materials and translate into operational requirements, minimizing extra work for scientific leads
• Provides recommendations for process improvement and more efficient ways of working
• Provide ad hoc support to facilitate administrative or logistical activities such as submission of expense reports in Concur, engagements with health care providers, or Veeva submission
Qualifications
• Bachelor’s degree; 3-5 years operational or project coordination experience in research, RWE/HEOR, clinical ops, medical affairs, or healthcare systems
• Ariba experience required
• iEnvision (or similar study management system) strongly preferred
• Veeva preferred
• Concur preferred
• Demonstrated ability to independently drive workflows with minimal direction
Required Skills

• Strong analytical and problem-solving capability; ability to anticipate needs
• Ability to manage multiple timelines in a fast-paced environment
• Excellent communication & cross-functional interpersonal skills
